Summary:

The role Coordinator Claims Litigation requires expertise to support the CHRISTUS Legal Claims Department, Vice President/System Director/Litigation Counsel, and all related functions in connection with the management of professional and general liability claims for all CHRISTUS Health regions, entities and physician groups. The role encompasses a variety of duties related to claims management and support attorneys, paralegals, and the support of Regional Claims Specialists in coordination of claims related meetings, data management/input as well as some legal research. The Claims Litigation Coordinator role requires knowledge of legal terminology, process and practices related to litigation, court systems and filing practices. The job also requires communicating with System Participant contacts and outside legal counsel. This position works in conjunction with and under the supervision of the Vice President/System Director/Litigation Counsel, and the Regional Claims Specialists. This role requires the ability to work collaboratively and cooperatively with other members of the Legal Services team to achieve results.

  • Monitor, review, and track Service of Process for various service items. This duty includes discussing and working with the legal team to assign matters to outside counsel, in addition to monitoring and tracking of all legal process for all entities, including tracking of Answers, confirmation of Answer deadlines, and confirmation of Answers being timely filed.
  • Monitor and manage Litigation Holds; Notices and Releases of Same.
  • Monitor and post reports and other communications with outside counsel.
  • Manage heavy Litigation Calendar and timely calendar all mediations, trials, and arbitrations.
  • Manage and schedule monthly, quarterly, and annual review of claims with Regional Claims Specialists and System Participants via Microsoft Outlook calendaring system.
  • Review Settlement Agreements and Confidentiality Agreements; ensure proper receipt and execution of settlement documents and distribution of settlement payments; enters information into Risk database (Assure).
  • Create and prepare Litigation Reports and Data relating to Attorney Asserts, Injured Asserts, Suit Asserts; Mediations; Trials; and Expense and Indemnity Reserves.
  • Collaborate with Regional Claims Specialist and Risk Manager in management of claims and outside counsel
  • Monitor and manage various subpoenas and request for records.
  • Draft correspondence to outside counsel on a variety of topics.
  • Conduct legal document research, and witness investigation and prepare reports regarding same.
  • Assist on various projects, such as subpoenas and discovery related projects including legal holds.
  • Assist in drafting and maintaining the departmental materials.
  • Build positive relationships within team, with entity contacts, senior leaders, directors, and office work team as necessary to perform duties and to achieve results.
  • Responds in a timely and professional manner to all email and oral communications, and communicates effectively with internal and external audiences on behalf of assigned attorney or in connection with other responsibilities and department needs.
  • Periodically assists in managing calendars for Claims Department, including setting up meetings and calls, reserving meeting rooms; ensuring necessary technology, dial-ins, meals and refreshments are set up for meetings; and ensures all meeting materials, if any, are made available to all participants in a timely manner.
  • Assists with travel arrangements, itineraries and other necessary documentation to ensure travelers have all necessary information when traveling, as well as assisting with travel expense reimbursement.
  • Attend and participate in meetings as needed, taking notes and preparing and write an accurate, concise, and to-the-point minutes to account of what happened at meetings.
  • Prepares and revises documents, reports, charts and presentations, using Word, Excel, PowerPoint and other software; creates blacklines of documents using compare technologies; and retrieves and files documents in Legal department document management system Perform other tasks as requested by supervising attorneys.

Requirements:

  • Associates/Bachelor’s Degree desired.
  • 1-3 years of Legal experience, litigation preferred.
  • Excellent organizational and interpersonal skills.
  • Fluency in oral and written English.
  • Proficient in database management and Microsoft Office products- i.e. Word, Excel, PowerPoint
  • 1-3 years’ experience in exposure to legal settings.
  • Organizational skills with the ability to handle priority projects simultaneously within tight deadlines and is proactive in preventing problems, good follow through on projects/issues, and an attention to detail.
  • Ability to handle confidential information in a mature, professional, and completely confidential manner.
