POSITION SUMMARY:

This position is responsible for performing the necessary support functions as they relate to the daily operations of CHRISTUS Trinity Clinic. These functions necessitate the use of tact, diplomacy, discretion, and judgment. The Office Assistant position also requires excellent customer service, organizational and interpersonal skills.

MAJOR RESPONSIBILITIES:

  • Participates in developing department goals, objectives, systems and processes.
  • Make copies, send and retrieve faxes upon request.
  • May answer telephone, take messages and give routine information in accordance with established procedures.
  • Provide backup support in the absence of departmental administrative assistant as well as daily relief for lunch and breaks to include staffing the reception desk, answering phones and assisting visitors to the department.
  • Maintains strict confidentiality
  • Follows the CHRISTUS Trinity Clinic guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent or detect unauthorized disclosure of Protected Health Information (PHI).
  • Uses oral and written communication skills to effectively convey ideas in a clear, positive manner that is consistent with the CHRISTUS Mission.
  • Maintains established CHRISTUS Trinity Clinic policies, procedures, objectives, quality assurance, safety, environmental and infection control.
  • Implements job responsibilities in a manner that is consistent with the CHRISTUS Mission and Code of Ethics and supportive of CHRISTUS Trinity Clinic's cultural diversity objectives.
  • Performs other related work as required.

POSITION QUALIFICATIONS:

A. Education/Skills:

  • High school diplomacy or GED
  • Basic computer skills
  • Ability to maintain confidentiality regarding sensitive information.
  • Accuracy and attention to detail
  • Ability to prioritize tasks
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Bilingual (English/Spanish) preferred
