Serves as a disability/leave liaison between CHRISTUS Associates including Management, Human Resources, and the third party administrator. Creates, documents, and facilitates administrative processes, procedures and provides education where necessary to ensure adherence to established benefit plans, company policies, procedures, and applicablestateandfederallawsrelatedtoleave. Providesnecessaryinformationtothethirdparty administrator for processing requests related to STD, LTD, WC, FMLA, ADA, Military, paid and unpaid Leaves of Absence. Serves as primary contact for the third party administrator.

MAJOR RESPONSIBILITIES

Leave of Absence

  • Serves as primary contact/liaison for Associates including management, Human Resources and the third party administrator.
  • Provides necessary information to third party administrator regarding work schedule and other relevant Associate information necessary for processing leave requests.
  • Partners closely with HR Business Partners on leave cases and provides guidance within the policy and established legal guidelines.
  • Communicates and corresponds with HR Business Partners, managers, and the third party administrator regarding leave processes and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, Workers' Compensation) and paid/unpaid leaves of absence.
  • Communicates and corresponds with Associates concerning leave processes, leave benefits and provides Associates with accurate information on benefits deductions relating to absences, medical certification requirements, return-to-work dates, etc.
  • Coordinates and organizes medical and leave information to ensure HIPAA and Employee Privacy guidelines are maintained.
  • Provides training webinars to managers for Leave procedures.
  • Validates third party administrator inquiries related to Associate service hours worked and years of service to establish FMLA eligibility.
  • Prepares weekly leave reports for distribution to regions and Benefits Specialist.
  • Resolves leave questions, issues, and escalations from HR Shared Services.
  • Researches historical leave data issues and provides updates as appropriate.
  • Coordinates return to work and transitional duty with managers, Occupational Health Nurses and HR for Associates. Sends written confirmation of any job accommodations.
  • Monitors Associates return to work restrictions. Assist and advise supervisors in making decisions regarding the accommodation of Associate restrictions.
  • Manages weekly reports to ensure timely and accurate updates to Associate statuses and records.
  • Assists HR Business Partners and managers in evaluating and responding to requests for reasonable accommodations
  • Partners with legal and HR Business Partners regarding employment decisions when approved leave time is exhausted or ending according to company policy.
Short-Term Disability
  • Serves as liaison between CHRISTUS Associates, Human Resources, Payroll and the third party administrator.
  • Serves as primary contact for the third party administrator and coordinates short-term disability advice to pay reporting with regions.
  • Provides necessary information to third party administrator regarding payroll, worked hours and other relevant Associate information necessary for processing disability claims.
  • Communicates and corresponds with HR Business Partners, managers, and third party administrator regarding STD payments, processes and policy.
  • Communicates with Associates, Human Resources, management and the third party administrator concerning STD claim payment resolution.
  • Provides Associates with accurate information on benefits deductions from pay relating to absences.
  • Calculates Extended Illness Bank payment as needed.
  • Submits inquires to the third party administrator regarding claim statuses to ensure timely payment of STD recipients.
  • Review and validate accuracy of pay reports.
  • Review timesheets in Kronos for STD recipients to ensure time entered in Kronos does not coincide with approval dates provided by the third party administrator for STD payments.
  • Provides salary information for LTD Salary Verification to the third party administrator.
  • Prepares weekly leave reports for distribution to regions and Benefits Specialist.
  • Manages weekly reports to ensure timely and accurate updates to Associate statuses and records.
  • Resolves STD payment questions, issues, and escalations from HR Shared Services.
  • Performs other operational duties and assignments as directed.
  • Associate or Bachelor's Degree, or equivalent experience in the employee benefits, disability, FMLA, administration.
  • Ability to focus as demonstrated through administrative efficiency.
  • Ability to galvanize and induce team collaboration.
  • Strong communication skills to build sustainable working relationships throughout the orga nization.
  • Ability to present ideas and recommend solutions.

  • 5 or more years of prior relevant experience with a concentration on Disability, FMLA, and Leave of Absence concepts required.
  • Knowledge of FMLA regulations.
  • Knowledge of ADA and Reasonable Accommodation.
  • Proficient in Microsoft office and other computer applications.
  • Possess or obtain Leave and/or Disability Certification.
